Facility Services Prioritization Matrix

The Facility Services prioritization matrix helps our team efficiently manage service requests.

PRIORITY 1: Urgent (immediate – 24 hours)  TRADES 

LOGISTICS & MAIL 

CUSTODIAL  UTILITIES  GROUNDS 
 

 

  • Elevator entrapment
  • Live/faulty electrical devices
  • Floods/leaks
  • Fire alarm
  • Beeping smoke detector
  • Accessibility issues (accessible door operators, issues in accessible washrooms etc.)
  • Broken exterior doors
  • Broken high level lab doors
  • Faulty locking mechanisms (broken lock, key stuck in lock etc.)
  • Broken glass
  • Flickering lights
  • No lights working in stairwell
  • Exposed/hanging wires
  • Fixtures in danger of falling
  • Overflowing toilets/urinals
  • Broken/malfunctioning eyewash stations
  • Broken clock in exam room 
  • Deliveries of perishable items associated with research
  • Materials required for teaching & instructional purposes
  • Emergency deliveries associated with Health & Safety requirements (i.e., ice melt to various buildings) 
  • Office or moves required to support emergency building clean ups  
  • Equipment and material required by Campus Trades for construction or emergency maintenance work 
  • Offensive graffiti 
  • Building leaks/floods caused by plumbing or weather conditions 
  • Emergency clean up (i.e., vomit, blood, spills etc.)

  • Building heating systems (when temperature is more than 5°C above set point)

    • Summer: if temp is below 18°C (64) or above 30℃ (86℉) 
    • Winter: if temp is below 15°C (59) or above 25℃ (78℉) 
  • Fume hood group system alarms (airflow alarms/controls and faulty digital monitors) 
  • Underground service breaks (i.e., broken water main)
  • Building system automation Total Building Control Failure
  • Safety concerns (i.e., overheating domestic hot water systems) 
  • Severe abnormal operating noises in fans/pipes (squealing, knocking, fan belts) 
  • Tunnel Alarms
  • Broken irrigation lines (sprinkler lines)
  • Fallen trees or fallen tree limbs
  • Hazardous clean-up (oil/gas leaks etc.) 
  • Stone walkway issues in the Arts
  • Missing traffic signs
  • Offensive graffiti removal 
  • All hazardous grounds related request 
  • Outside manholes & sewer drains clogged/backing up (repair may be coordinated by Maintenance or UCC) 
PRIORITY 2: Two Business Days  TRADES

  • Individual fume hood malfunctions (airflow alarms/controls and faulty digital monitors)
